Why Do Prompt Details Matter?

• Specific prompts return specific results, which cuts the follow-up questions and manual filtering that a broad answer creates.

• Naming the contact, field, and date range points Redtail AI at the records you have in mind instead of your whole database.

• Using your firm's own status values and user-defined field names matches the prompt to how your data is stored.

• Detailed workflow prompts produce a template with the steps your team follows, which reduces the rebuild work after the fact.

• Reading a prompt ladder builds the habit of adding detail up front, so the results improve across every part of Redtail.

What is a Redtail AI Prompt Ladder?

A prompt ladder is a side-by-side comparison of three versions of the same request. The Good column shows a prompt that gets a response but leaves Redtail AI guessing. The Better column adds the contact name or the field being searched. The Best column adds the remaining specifics — the time period, the exact status value, or the individual workflow steps — so the response arrives ready to use.

The ladders below cover the three areas where prompt details most affect the result: Redtail Assistant for contact and activity requests, Smart Search for building record sets, and Workflow Builder for creating templates. Read each row left to right to see which detail earns the improvement, then apply the same pattern to your own prompts.

How to Move a Prompt From Good to Best?

Each ladder below shows the Good, Better, and Best versions of a common request. Start with the row closest to what you need, then swap in your own contact names, statuses, and field names.

Redtail Assistant Prompt Ladder

Use these prompts for contact notes, activities, and date-driven lookups. Add the contact name first, then the time period or the date and time.

Smart Search Prompt Ladder

Use these prompts to build a record set. The Best column names the exact status value and user-defined field your firm uses, so review your own field names before you prompt.

Workflow Builder Prompt Ladder

Use these prompts to build a workflow template. Name each step, the number of reach-outs, and the tasks inside each step so the template arrives close to the process your team already follows.

Workflow Builder Prompt Ladder
Good	Better	Best
Create a workflow for client reviews	Create a Client Review Workflow with steps for prep, confirmation, and follow-up	Create a Client Review Workflow that has steps for Meeting Prep, Confirmation, and Follow-up. Create a prospecting workflow	Create a prospecting workflow with several reach-out steps that include calls and emails	Create a Prospecting Workflow that has 6 different reach-outs and each contains tasks for a phone call and email. Best Practices

Apply the same four moves that separate the Good column from the Best column in every ladder above:

• Name the record. Replace "this client" or "a client" with the contact name.

• Name the field and the value. Use your firm's own status values and user-defined field names, such as a Status of Active Client or a Contact UDF of RMD Taken 2026 equal to No.

• Add the boundary. Give the time period, the date and time, or the state so the response covers the range you have in mind.

• Spell out the structure. For a workflow, list each step and the tasks inside it rather than the outcome alone.

• Review the result and re-prompt. Add the missing detail to the same prompt instead of starting over.

In Summary Start from the ladder row closest to your request, then work toward the Best column before you send the prompt. Name the contact, the field, the value, and the time frame so Redtail AI targets the records you mean. Match your prompts to your firm's own status values and user-defined field names. List every step and task when prompting Workflow Assistant to get a template that fits your process. Re-prompt with the missing detail added when a result comes back broader than you expected.
