10/22: Streamline Workflow Task Navigation

• Advisors frequently access individual workflow tasks from various pages throughout the platform.

• Previously, selecting a task hyperlink opened the workflow, requiring additional navigation to reach the specific task.

• • This enhancement was built to streamline that experience.

• It eliminates unnecessary clicks and navigation steps by allowing users to access the specific workflow task directly, without opening the whole workflow.

• This update improves task-level navigation by directly displaying the workflow task modal on the current page.

• • Advisors stay in context while completing tasks, which enhances efficiency and reduces friction in daily operations.

How to get there: Select any task hyperlink from the following pages:

• My Workflow Tasks

• Workflow Tasks to Do Today (on the Today page)

• Workflow Task Report

• Seminar Workflow Task Reminders

• Open Workflow Task in Contact

10/22: Expose Email Admin Subscription User Rights for DBOs in Redtail CRM

• Redtail database owners need flexibility to manage user access to archived emails.

• Previously, this required contacting support, which delayed updates and added operational overhead.

• • This enhancement was built to give database owners direct control over email admin permissions.

• It removes the dependency on support for updating email admin access, allowing database owners to manage this permission independently and instantly.

• Database owners are able to update the email admin field directly from the Update User Rights menu.

• • Selecting this option allows users to view archived emails for others; unselecting it limits visibility to their own emails. This improves transparency and control over email access.

How to get there:

1. Select Manage Your Account from the dropdown menu.

2. Navigate to Manage Database Users and Teams.

3. On the Manage Users page, select the dropdown to the left of a user’s name.

4. In the Update User Rights pop-up, check or uncheck the Email Admin box.

10/22: Early Access Indicator Update

• Redtail CRM users who opt into Early Access need a clear visual indicator that reflects their experience without implying the entire CRM is in beta. This update was built to improve clarity and reduce confusion.

• The previous “Beta” pill created ambiguity, leading users to believe the entire CRM was in beta. The new “Early Access” pill uses updated terminology and iconography to reflect the user’s selected experience accurately.

• When Early Access is enabled in Preferences, users see an Early Access pill on the Redtail logo. This ensures users know they’re viewing Early Access features without misinterpreting the CRM’s overall status.

How to get there: Enable Early Access from the Preferences menu.

How to enable: Navigate to Preferences and toggle Early Access on. The pill automatically appears when enabled.

10/22: Warning on Email by Contact Report for Exporting 5000 Records or More

• Users running the Email by Contact Report were unaware of the 5,000-record export limit caused by an API constraint. This enhancement was built to inform users of the limitation before export begins proactively.

• It prevents confusion and incomplete exports by clearly warning users when exporting 5,000 or more email records.

• When the report includes 5,000 or more records, a warning pop-up appears with the message:

• • "This report has more than 5000 email records. Exports are limited to 5000 emails."

• Users choose to cancel to stop the export or to proceed with I Understand. No warning appears for exports under 5,000 records.

10/24: Redtail Database Owners are Able to update the Email Admin User Rights in Redtail CRM

• Archived emails provide critical historical context for client communication and internal follow‑up.

• Clear control over who can view archived emails supports better oversight, privacy management, and team collaboration without requiring support involvement.

• Updating the email admin permission previously required contacting support, slowing down administrative changes and adding unnecessary friction for database owners.

• Limited self‑service control made it harder to quickly adjust visibility as team roles changed.

• Database owners now manage the email admin permission directly from user settings.

• • This update streamlines permission management, allowing faster adjustments to archived email visibility while keeping control within the firm.

• When the setting is selected, users gain visibility into other users’ archived emails.

• • When unselected, users only see their own archived emails.

• Enables self‑service management of the email admin permission

• Controls visibility into archived emails based on role and responsibility

• Eliminates the need to contact support for permission updates

• Supports faster onboarding and role changes for team members

How to get there: Redtail CRM > Select the user name dropdown > Manage Your Account > Manage Database Users and Teams

• From the Manage Users page, open the dropdown next to a user’s name, select Update User Rights, and toggle the Email Admin option.

How to enable: Database owners update the Email Admin setting directly within user rights. Changes apply immediately after saving.

10/29: Advanced Search on User Defined Fields

• Advisors need flexible and efficient ways to segment and analyze their contact data. Previously, searching by User Defined Fields (UDFs) was limited to specific reports, restricting visibility and customization. This enhancement expands search capabilities, enabling more powerful data exploration directly within Redtail CRM.

• This update eliminates the need to rely on limited reports for UDF-based searches. Advisors can now perform advanced queries using Account and Contact UDF Types, making it easier to locate specific contacts and generate tailored reports.

• Advisors can now:

• • Search for one or more UDFs alongside other CRM fields.

• • Use a dynamic dropdown to select values for UDF types such as “List of Values,” “True or False,” and “Yes or No.”

• This streamlines the reporting process, saves time, and provides deeper insights into client data—enhancing relationship management and operational efficiency.

How to get there: Navigate to the Advanced Search page in Redtail CRM. UDF search options are now available within the search criteria panel.
