To begin the process of signing up for Redtail E-mail (Archiving and Retention), please contact our Support Team at 1-800-206-5030 opt. 3 then opt. 3 or via e-mail at support@redtailtechnology.com. At that point you will be provided with our E-mail Setup Form with instructions for completion and delivery. After receipt of your completed E-mail Setup Form, a Support Team member will provide confirmation once your e-mail has been set up on our end.

After you receive this confirmation, if this is a new e-mail setup (meaning we weren’t previously hosting your e-mail for you), you will need to contact the organization currently hosting your e-mail and have them change the MXRecord for you to mail1.redtailtechnology.com. After this change has been made, you are ready to set up your Thunderbird account.

After downloading Thunderbird, you can install and begin the setup process.

You’ll enter your name, email address and password here. Note: After clicking Continue, Thunderbird will attempt to automatically configure your email account.  Click manually config quickly so that you can enter the necessary settings.  You'll then see the below:

You'll most likely want to complete your settings on this dialog as in the example below:

Note that the Server hostname will reflect your own email domain rather than ".redtailtechnology.com," as in the example above.  You'll also want to type in "imap" prior to the Server hostname field on the IMAP line and "smtp" prior to the server hostname field on the SMTP line, i.e., in the example above, the Incoming Server hostname would be imap.redtailtechnology.com and the Outgoing Server hostname would be smtp.redtailtechnology.com.

Once all of these fields are completed, click Re-test.  After the test is complete, you can click Done and your account will be available for use.

Note: if this is being set up as a POP account, you'll need to select POP where it currently says IMAP and change your Incoming port number to 995.  You would also need to change the Incoming Server hostname to pop.yourdomainname.

You can then click the Re-test button. This will take you back to the previous dialog with your new settings in place. In our example above, we’ve set our Incoming and Outgoing Server ports to the IMAP settings of 993 and 465. Below is a list of your Port options, including those for POP (which would be different for your Incoming server:

Incoming Email:

IMAP Ports: 993(ssl)
POP Ports: 995(ssl)

Outgoing Email:

SMTP Ports: 465(ssl)

After choosing your settings, you can then click Create Account and begin using your Redtail-hosted domain with Thunderbird.

If you then need to edit your account, or, if your account was already set up in Thunderbird and you now need to edit it, you can go under Thunderbird’s Tools / Preferences / Account Settings menu. You’ll then see the following:

To make adjustments to your Incoming Server settings, you can click on Server Settings in the pane on the left:

Within this dialog, you can reference the Incoming server and port information provided above to make changes to your email account.

If you need to make changes to your Outgoing Server settings, you can click on Outgoing Server (SMTP) in the pane on the left. You’ll then see the following:

In my example here, I have two email accounts set up in my Thunderbird. To make edits to your Redtail-hosted email, you’ll need to click on that address here to highlight it and then click on the Edit button:

You’ll then have the capability to edit both your Outgoing Server Name and Port number. Again, you can refer to the server settings and port numbers provided above.
