Why Should I Prioritize the Today Overview Page When Starting My Day?

What is the Today Overview Page?

The Today Overview page is the default landing site for Redtail CRM. It serves as a gateway to multiple sections focused on recent or upcoming activities, workflows, reminders, and other data to start your day with knowledge.

The Today Overview page shows users what activities and items are due on the day they log in to Redtail CRM. It's divided into smaller areas to provide an overview of current tasks while giving you some room to make edits or see which items still need to be completed or are upcoming. It also provides information on AUM, Workflow Tasks, Client Reviews, and more.

 

 

 

 

 

How Do I Access and Navigate the Today Overview Page?

Upon logging into Redtail CRM, you navigate to the default login page - Today. 
If it is not your default login page, select the Today option from the left side navigation menu. For information on changing your default landing page, please review (Redtail) Change Site Preferences: General Options.

 

The Today Overview page is divided into several areas, though depending on your active integrations, could include more. The default areas are:

  • Today Page Banner

  • Things to do today

  • Workflow tasks to do today

  • Team Notices

  • Today's Birthdays

  • Client Reviews

Using the Today Overview Page

At the top of the page are several boxes that display statistics from your database. They are divided into four boxes that, when selected, navigate you to their details pages.

 

  • AUM - The total of all AUM across all accounts in your database. Click the box as another method to navigate to the Accounts tab of the Today page. See (Redtail) Using the 'Today — Accounts' Page for more details.

  • Reminders - A numerical value of reminders that are overdue or happening within the next seven days. Click the box as another method to navigate to the Reminders tab of the Today page. See (Redtail) Using the 'Today — Reminders' Page for more details.

  • Timeline - A numerical value of recent changes that have occurred in the database. Click the box to view these changes, filter the timeline, or search for specific changes.

  • Workflow Tasks - A numerical value of workflow tasks assigned to you. Click the box to navigate to your My Workflow Tasks area (discussed below).

Things to do today (Click to Expand)

Things to do today displays a list of activities assigned to you that are due that day. Sort column data in ascending or descending order by clicking their headers.

Activity Actions

Each activity includes an action dropdown Action Dropdown Menu icon menu. When selected, the following additional features may be used:

 

  • Edit... - Opens the activity's details page for editing.

  • Complete - Completes the activity.

  • Rollover - Rolls the activity's start and end date over to today's date.

  • Reschedule - Change the date and time of the activity.

  • Timeline - See a list of changes that have occurred for this activity.

  • Delete - Deletes the activity.

Activity Options

At the top right of your Things to do today section is a collection of buttons. These buttons give you additional ways of interacting with your activities:

  • Past Due "Past Due" button - Navigates to your Today - Activities page with the filter applied to show past due activities. Review (Redtail) Using the 'Today — Activities' Page for more details.
    • Please Note: The "past due" hyperlink at the bottom of the Things to do today section functions the same.

  • Upcoming "Upcoming" button - Navigates you to your Today - Activities page, with the filter applied to show activities due within the next 30 days. Review (Redtail) Using the 'Today — Activities' Page for more details.
    • Please Note: The "upcoming items..." hyperlink at the bottom of the Things to do today section functions the same.

  • Activity Options "Activity Options" menu - Select one or more activities using the checkboxes to the left to make this button become available with a list of options:
    • Complete - Complete the selected activities.

    • Reassign - Assign your selected activities to different database users.

    • Reschedule - Change the date and time for your selected activities.

    • Delete - Delete your selected activities.

Things To Do Today Column Definitions

 

Column NameColumn Description
WhenWhen the activity is due that day. There is either a specific time of day or is marked as "All Day."
SubjectThe name of the activity. Select the subject link to go to the activity's details page.
TypeThe Activity Type assigned.
Importance High Alert "Red Exclamation Mark" iconThe importance of the activity.
Priority #The priority number assigned to the activity.
Assigned ToUsers assigned to the activity. If multiple, the number is a hyperlink that opens a modal with a list of the users.
ContactsThe contacts linked to the activity. If multiple, the number is a hyperlink that opens a modal with a list of linked contacts.
LocationWhere the activity takes place.
CategoryThe Activity Category assigned.

 

 

 

 

 

 

Workflow tasks to do today (Click to Expand)

Workflow tasks to do today displays a list of workflow tasks assigned to you that are due that day. Sort the column data in ascending or descending order by clicking their headers.

 

  • Tasks in the Workflow tasks to do today area appear here only on the day the task is due. Select the workflow name to navigate to the workflow details page.

  • In the top-right of the section is a checkbox labeled "Show workflow tasks with no due date." Select it to view tasks assigned to you without a due date, as well as tasks due today.

  • Click the "workflow tasks..." hyperlink at the bottom of the area OR click on the Workflow Tasks box at the top of your Today Overview page to navigate to the My Workflow Tasks section.

Workflow Tasks Actions

Each workflow has an action dropdown ActionDrop.png menu to the left of its name, offering additional functionality when selected.

  • Edit Task - Edit the task assigned to you, including the name, assignee, due date, and task description.

  • Reassign To - Reassign the task to a different user.

  • View Workflow - Navigate to that workflow's details page.

  • Edit/View Step Comments - Edit, view, or make a comment on the current step of the workflow.
    • Please Note: Step Comments are NOT the same as Step Notes.

  • Completion Notes - View Step Notes for this Step, if any are available.

  • Timeline - See a timeline of updates to the workflow.

My Workflow Tasks

My Workflow Tasks is a simplified view of all tasks assigned to you, not just what is due today.

  • Click the "workflow tasks..." hyperlink at the bottom of the Workflow tasks to do today area OR the Workflow Tasks box at the top of the Today Overview page.

  • Functionality is identical to the Workflow tasks to do today area.

  • Three buttons in the upper-right of the view are available to add more functionality:
    • Export "Export" icon - Select to download a CSV spreadsheet file of your workflow tasks.

    • Search "Search" button - Create a search result in Advanced Search containing all linked contacts to a workflow.

    • View All "View All" button - Navigates you to the main Workflows Workflows "twisted arrows" icon page of your database.

Workflow Tasks To Do Today Column Definitions

Column NameColumn Description
WorkflowThe name of the workflow that has a task assigned to you.
Linked ContactsContact records linked to the workflow.
StepThe current step the workflow is on.
CategoryThe Activity Category assigned to the workflow (if any).
TaskThe task assigned to you for the active step.
Task Due DateThe date the task assigned to you is due.
CompleteNot a column, but appears with column data. Selecting the "Complete" hyperlink completes the task.

Team Notices (Click to Expand)

 

Team Notices cycles through a collection of notices that your team members have added in the Manage Team Notices section of the CRM. Some team notices with longer messages or images include a "Show More" hyperlink in the corner. Select the modal that displays the entire message.

Today's Birthdays (Click to Expand)

Today's Birthdays displays a list of that day's contact birthdays based on the Date of Birth and the "Enable DOB Reminders?" fields in a contact record. Select the contact name's hyperlink to navigate to their contact record.

Client Reviews (Click to Expand)

Client Reviews displays a list of upcoming client review activities and reminders.

 

  • Use the date range dropdown menu to select Today or up to the Next 90 Days.

  • Client review data is divided into three sections:
    • Upcoming - Shows upcoming client review activities for the selected date range.

    • Not Scheduled - Shows contacts with a client review reminder occurring in the selected date range that have not had a client review activity scheduled.

    • Overdue - Shows client review activities that have not been completed in the database.

  • Select a contact name's hyperlink to navigate to their contact record.

  • Select the hyperlink of an Upcoming or Overdue date to navigate you to the scheduled client review activity.
