Why is Managing Summit Login and Access Important?

• Secures every account with three layers—password, security question, and multi-factor authentication—closing common gaps that lead to unauthorized access.

• Puts setup directly in clients' hands through a simple activation email, reducing back-and-forth with firm staff.

• Speeds onboarding for larger teams with Bulk User Invitation, inviting wealth owners and advisors in one batch instead of one by one.

• Pinpoints login failures fast with the Security tab, directing admins straight to a password reset or an authentication factor reset.

• Restores access in minutes for expired links or locked-out users, keeping clients moving instead of stuck at sign-in.

What is the Summit Login and Access Management Process?

Summit login and access management covers everything tied to getting users into the Summit platform and keeping them there. It spans three connected workflows:

1. The first-time login that a new client completes after receiving a welcome letter;

2. The Bulk User Invitation tool that firm admins use to invite many users at once, and

3. The credential reset process that restores access when a password, security question, or multi-factor authentication factor fails.

Each new account is secured with three layers: a password, a security question, and a multi-factor authentication app such as Google Authenticator or Okta Verify. Firm admins manage invitations and resets from the Admin area, while clients complete their own setup through the activation email.

How Does Summit Login and Access Management Work?

New Client Login Workflow

Receive the Welcome Letter

The client receives a welcome email from their firm's Summit-powered portal. The email greets the client, lists their username, and includes a Confirm Account button. If the button does not work, the client copies the backup link into a browser.

Important Note: The activation link expires in 7 days.

Set Up the Password

• Open the "Set up security methods" page that appears after confirming the account.

• Select Set up next to Password.

• Create a password, then re-enter it to confirm. The password must meet the listed requirements (at least 8 characters, a lowercase letter, an uppercase letter, a number, no parts of the username, and not match the last 4 passwords).

• Select Next.

Set Up the Security Question

• Return to the "Set up security methods" page and select Set up next to Security Question.

• Choose a security question from the drop-down menu, or select Create my own security question and enter a custom question.

• Enter the answer and select Verify.

Set Up Multi-Factor Authentication

• Select a multi-factor authentication app such as Google Authenticator or Okta Verify, then select Set up.

• Open the chosen app, select the + add account button, and scan the QR code shown on screen.

• Back in Summit, select Next, then enter the code from the app and select Verify.

• After setup, future logins only require opening the authentication app and entering the current code—no need to scan the QR code or reselect the app each time.

Accept Terms and Conditions

On the first login only, a screen prompts the client to check a box indicating agreement to Summit Wealth's Terms of Use and Privacy Policy. After checking the box, the client selects Agree to the terms above to finish the process.

• Select the Bulk User Invitation tab at the top-left of the page to view bulk invitation batches.

• To select all users—or all users within a filtered search—check the box at the top left, next to the first name column.

• Select Start Batch in the bottom right corner.

Password and Multi-Factor Authentication Reset

The ability to reset user credentials and authentication factors depends on role permission groups and is likely limited to the admin role.

Deactivate and Reactivate a User

• For an advisor, navigate to Admin > Advisors and find the advisor needing the reset.

• For a Wealth Owner, navigate to Admin > Households > Users and locate the user who needs the reset.

• Check the Security tab to see where the login is failing (multi-factor authentication, password, not invited, and so on).

• If the user is failing the password, select Reset User, then confirm an email was sent, prompting a login workflow with a temporary password.

• If the user is failing multi-factor authentication, select Reset Authentication Factors. This removes the existing factors, and the next login prompts the user to set up multi-factor authentication again.

• Once the user is deactivated, select View Deactivated in the top-right corner of the respective Admin settings, then select Reactivate to send an email prompt to reset credentials.

Invite or Reinvite a User

• Navigate to Admin, then to the Advisors or Household Users tab, depending on the user.

• Under the Actions heading, select the Invite User option. Beneath the invite, the page shows how many invites the user received, who invited them, and the acceptance status and date.

• The user receives an email to accept the invite, prompting them to set up their account's login factors.

Reset an Expired Activation Link

• When a client does not finish activating, and the link expires, an "Activation link no longer valid" screen appears at sign-in.

• From the user's record, select Reset User.

• Confirm the reset in the Reset User dialog. A new email link is sent, and the user starts the activation process from the beginning.

Troubleshooting

• If a user is suspended, submit a support ticket. Summit's product team resets the user, and the user must then be reinvited.

• If a user does not finish activating the account and the link expires, the setup process resets, but it starts from the beginning.

• If any login issue remains unresolved, submit a Support case to Summit Support.

In Summary Walk new clients through password, security question, and multi-factor authentication setup from the welcome email—the activation link expires in 7 days. Check the Security tab first to find where a login fails, then Reset User for password issues or Reset Authentication Factors for multi-factor issues.
