Why?

• Give entrance to Redtail users outside your database.
  
  
• Allow switch-in access to the database using the same admin features or optional rights they have in their own database.

 

 

 

What?

Redtail CRM offers admins and database owners authority to bring in other Redtail users from other databases into their own. These are called Switch-In or External users. The benefit of having these users is so that they can share their expertise and cooperate across databases to improve books of business, understand how other databases are run, administer multiple databases at a time, and more. Only admins and/or database owners give access to will be able to switch between databases, and this permission is easily turned off should it need be.

 

 

 

How?

• Navigate to the Manage Database Users and Teams section of your CRM.

• In the User Management section, click the "Add" dropdown at the upper right and select "Existing User."

 

 

 

 

• The Add External User modal will appear.
  
  
• Enter the individual's Redtail username in the Username box and click "Add External User."
  IMPORTANT NOTE: Usernames that include spaces cannot be added as external users. If the Redtail username has a space and needs to be added as an external user, the user will need to contact Redtail support and have their username updated.

Once the external user has been added, they will have switch-in access to your database from their default database To switch databases, go to the profile dropdown at the top right of the CRM, and select "Switch Database." When selected, the user will see a dialog indicating the database(s) they have access to as a switch-in user. To switch into one of the other databases, select one and click "Switch Database."

 

 

 

 

 

 

• Switch-in users automatically have the same admin rights and optional rights within switch-in databases as they do within their primary databases.

• IMPORTANT NOTE: There is NOT a way to assign them different admin rights than those they enjoy within their primary database.
  
  
• Exceptions to these admin and optional rights: Switch-in users will not have access to integrations within switch-in databases, regardless of their access in their primary database.
  
  
• If/when you're ready to remove their access, disable them from the Manage Database Users and Teams section in the same way you would disable a user in your own database.
